Respected internationally as a world leader in career-oriented education, Rochester Institute of Technology (RIT) is a private, technology focused university located in upstate New York. As one of the nation’s premier career-oriented universities, RIT’s goal is to prepare students for the future by putting a special emphasis on learning through experience. Being a technology based campus students and faculty at RIT are accustom to having the best and most innovative tools available. RIT is constantly relying on technology to differentiate itself and to help its eight colleges succeed.
Since 2006 Symplicity’s Career Services Management (CSM) system has allowed RIT to process tens of thousands of jobs, interviews, student employment applications and manage its large on-campus recruiting program. Without a sophisticated and reliable software application it would literally take thousands of staff hours and millions of dollars to perform all of these operations.
A critical part of the student experience at RIT is its cooperative education (co-op) program. Most academic programs at RIT require students to participate in a co-op program and each year 3,600 students complete more than 5,300 work assignments with organizations around the world. The co-op program is a core of RIT’s mission to provide students with real world experience to prepare them to handle challenges and opportunities once they graduate. This program also allows employers to identify and acquire talent as it is common for co-op experience to turn into full time employment upon graduation. RIT was among the first universities to use cooperative education back in 1912, and today its co-op program is one of the largest in the world.

Since the university has a strong emphasis on preparing its students for their career, the Office of Cooperative Education and Career Services at RIT is a highly utilized resource on campus. The Office of Cooperative Education and Career Services is driven by a simple mission: to empower RIT students and alumni to succeed in obtaining employment appropriate to their career objectives and personal goals. One of the many ways that it fulfills this mission is by providing a very extensive career portal and the backbone of this portal is powered by CSM.
Students and Alumni access CSM through single-sign on, meaning they first login to RIT’s internal portal and then can seamlessly login to the various programs that the office provides. For employers, RIT provides an embedded login so that contacts can easily login directly from RIT’s employer portal. The portal provides extensive career related data that students, alumni, employers, and faculty can access to facilitate their career search and development. Student use CSM almost exclusively to search and apply for co-op experiences and the results are significant. In total students combine to earn approximately $30 million in revenue annually through co-op programs so having a system that easily and effectively lets employers post opportunities and students apply is critical for the Office of Cooperative Education and Career Services success.
Web Services API
Utilizing the web services capabilities available through CSM, RIT has created a reporting system to standardize reports and deliver them to its career portal in real time. RIT pulls reports of critical data from CSM and then uses its technical expertise to access reports through web services. It uses this data in a variety of ways allowing career services to streamline its operations and better serve its constituents. The content provided on its portal that is pulled from CSM include accreditation reports, placement data, employer and student activity, and an internal co-op evaluation system. The portal even has a feature that uses maps so that students can visually see where a job or co-op is located. Through the portal students have access to personalized data, subscription based web services and access to job postings hosted in CSM.
Launched in October 2008, the reporting system revolves around CSM and by integrating data from multiple sources, the system provides vital information to faculty, staff, and students. RIT is able to disseminate this information on its career services portal easily and effectively and expands the impact of CSM to other parts of its career services.
The system automatically transfers the various source data to a SQL database. Once this information appears in the database, users can log on through the single sign-on web portal to view it. They can search the database for specific information on everything from salaries to résumés, job openings, and more. Plus, RSS feeds pull the latest real-time job information from CSM, career fair employers, career service events, the student information system, and other sources.
A big part of the system provides information on cooperative education jobs for students. Faculty and staff members utilize it to monitor student activity and performance throughout the semester. Department hiring managers also can use the tool to manage interviews, student employment applications, and the on-campus recruiting program. Career Services staff can analyze data for specific demographics and learning outcomes and can easily disseminate this information as needed.
The Career Services Reporting System is constantly evolving, RIT has rolled out a number of modules on the back end to help the system provide even more information. In particular, new career fair and kiosk modules allow school employees to scan student IDs at events; the school can then track student activity with the data.
RIT is well known as a university that is on the cutting edge and that appreciates quality, scalable, technology solutions to improve its efficiency and user experiences. Deploying the most advanced and feature rich system has allowed it to do things that it was not able to previously, and that many other educational institutions would not have the capability to do.
While many schools are still relying on spreadsheets to produce reports RIT is utilizing innovative technology available with CSM to produce real time, standardized reports increasing efficiency and effectiveness for its constituents.

Frequently Asked Questions
Q: Why do I have to enter a verification code when I login?
A: The verification code is a security measure that will only display after 3
incorrect login attempts. Once you login with the correct credentials it will no longer display. If it does continue to display after a successful login make sure that Cookies are enabled in your browser settings.
Q: I have a student or employer that cannot login! What should I do?
A: There are few common reasons why this may be happening and here are some things to troubleshoot:
1. Make sure that the user is going to the correct login page and that they are not trying to login as an employer through the student login page or vice versa.
2. If you have confirmed that they are going to the correct page it may be that they are trying to use the wrong username or password. Verify this and also recommend that they use the Forgot Password function on the login page.
3. Check to see if they have a password by viewing their Number of Logins in administrative info. If it says “N/A” it means that they do not have a password assigned to them. To assign either set in the Account tab or send them the Welcome Message to generate them a new password.
Q: The forgot password feature is not working for an employers or student?
A: The forgot password function is the easiest way for users to receive a new password. If they report that it is not working it is usually one of three reasons:
1. They have never been assigned a password. Check their number of logins and if it says “N/A” they have to be assigned a password from an administrator before they can login.
2. Make sure that the Forgot Password system message is enabled.
3. Have the user check their SPAM folder.
Q: How do I get my manager account password?
A: For security reasons there is not a forgot password feature available for administrators. Your password can be reset by another administrator or contact us for a new password if you are unable to login.
Q: Why isn’t my search bringing back any results?
A: Try selecting the “Clear” button and then try your search again. When performing multiple searches it is common to have previous filters set which can inadvertently limit the results.
Q: Why do I have duplicate results in my report?
A: If you are including a field that accepts multiple values you can select “Collapse Values into Single Row” to combine selections into one row.
Q: When using the student tracking system, can I hook up multiple card readers to one computer?
A: Sure. You can have multiple card readers on one computer to quickly process student attendance.
Q: What happens if I reject a OneStop posting? Is it rejected everywhere? Does the employer get a refund?
A: If you reject a OneStop posting the job will only be rejected at your school, it can still be posted at the other selected schools. After it is rejected if the number of remaining schools puts the employer in a lower price bracket we send them a refund.
Q: Does OneStop require employers to bypass our school's CSM system?
A: It does not. OneStop actually features a Springboard so your approved employer contacts may jump into your system a click, and they appreciate not having to remember passwords. Furthermore, from the OneStop interface, employer contacts may access your school's customized forms, which feature your logo, just like they would if they were logged in directly.
